Process automation pricing, made clear

Most businesses start by automating one repetitive process, such as intake, invoicing or reporting, and add more once they see the time saved. Pick the way of working that fits your budget. No hidden extras: we agree scope and price in writing before any work starts.

01Engagement models

Three ways we work together

Most customers start with an audit or a single automation and add a monthly support plan afterwards.

A · Our usual starting point

Fixed-scope projects

How it works. We agree exactly what we will build, the price and the timeline before we start. Larger projects are paid in stages as each part is delivered.

Who it suits. Clear, well-defined jobs: one or more repetitive workflows to automate.

What's included

  • A written scope and one fixed price
  • Payment in stages for bigger projects
  • Documentation and a handover session
  • A short period of fixes after delivery

Changes outside the agreed scope are quoted separately, so the original price stays fair.

B · Keeps things running

Monthly support plans

How it works. A flat monthly fee covers hosting, backups, monitoring and updates for what we have built, plus a set number of hours for small changes.

Who it suits. Anything we build or run for you, so you never have to worry about it breaking or falling behind.

What's included

  • Hosting, backups and monitoring
  • Security updates
  • Included hours for small changes and fixes
  • Faster response on higher plans

Bigger new features are quoted separately, so your monthly fee stays predictable.

C · For when scope is unclear

Hourly (time and materials)

How it works. You pay for the time we actually spend. We give a budget estimate up front and a short weekly summary so you always know where things stand.

Who it suits. Exploratory work, quick fixes, or projects that will take shape as we go.

What's included

  • An estimate before we begin
  • A weekly summary of time and progress
  • Monthly invoices for time worked
  • A budget cap if you want one

If the work becomes clear, we can switch it to a fixed price.

Indicative starting prices

  1. P.01

    Automation audit

    from NZ$900

A workshop and a written report of the best things to automate, with effort and payoff for each. If you go ahead with a project, the audit fee comes off the price.

  3. P.03

    Multi-workflow automation bundle

    from NZ$6,000

    Fixed price, paid in stages

    about NZ$130 to NZ$160 / hour

    Time and materials

For unclear scope, quick fixes and advice, billed monthly for time worked.

03Fit

What usually suits whom

  1. A

    Law firms and professional practices

We usually suggest: Start with an automation audit, then a fixed-scope automation, then a monthly support plan.

A known budget and a flat monthly fee are easy to approve. We agree in writing how client information is handled, and we keep access to it to a minimum.

  2. B

    Small businesses

We usually suggest: A fixed-price automation of one workflow, with an optional support plan.

Small, quick wins that pay for themselves, with no long commitment. Hourly work is there for small odd jobs.

  3. C

    Companies that want simple software

We usually suggest: A one-workflow automation, or a multi-workflow bundle paid in stages, then a support plan.

We start with the task that costs the most time, so you see the saving early and decide what to automate next.

04Terms

How billing and payment work

  • Written proposal first. You see the scope, price, timeline and what is not included before you commit.
  • Fixed-scope projects. We usually ask for a deposit of around 30% to start. Bigger projects are then invoiced as each stage is delivered, with the balance on handover.
  • Support plans. Billed monthly in advance, with a short notice period if you want to stop.
  • Hourly work. Billed monthly for time worked, with a weekly summary.
  • Payment terms. Invoices are due within 14 days. All prices exclude GST, which is added at 15%.

05Questions

Pricing questions

What if the scope changes?

It happens. We write down the change, tell you what it does to the price and timeline, and only go ahead once you agree. The original agreed scope stays at its original price.

Do we get the code?

Our default is that you own what we build for you, including the code and your data, and we hand over documentation so you are never locked in. We confirm ownership in writing before work starts.

Do you ask for a deposit?

For fixed-scope projects we usually ask for a deposit of around 30% to start, and invoice the rest in stages. There is no deposit for hourly work.

Can we change from hourly to a fixed price?

Yes. Once the work is clear, we are happy to give a fixed price for the rest.

What happens if we want to stop a support plan?

You can cancel with a short notice period. We hand over everything you need, including documentation and access.

What is not included in the prices?

Third-party costs such as software subscriptions, domain names, email hosting and payment fees are separate. We pass them on at cost and tell you before they apply.

How do we get an exact price?

Book a free intro call. We will talk through your process and then send a written proposal with a clear price.
